Import prospects from CSV, Excel or Google Sheets
Short answer: To import prospects, download Pink Post's CSV template or copy the Google Sheet template, fill in the columns website, site_name, first_name, last_name, email, niche, dr, traffic, price and notes, export it as CSV (or use .xlsx), and upload it under Prospects, Import. Pink Post maps columns, verifies emails, skips duplicates and blocklisted domains.
Steps
- Get the template. In Prospects, Import, click Download CSV template, or make a copy of the Google Sheet template.
- Fill in your prospects. One row per contact. Only email is required; everything else personalises your pitches.
- Export as CSV. In Google Sheets choose File, Download, Comma-separated values (.csv). Excel .xlsx files work directly.
- Upload and map columns. Choose the file and a list, confirm the suggested column mapping and import.
- Review the summary. Pink Post shows how many prospects were added, how many duplicates were skipped and the verification results.
Make a copy of the Google Sheet template (opens Google Sheets).
Template columns
| Column | Example | Use it as |
|---|---|---|
website | https://example.com | {{website}}; also used for AI intros and backlink checks |
site_name | Example Blog | {{site_name}} |
first_name | Jane | {{first_name|there}} |
last_name | Doe | {{last_name}} |
email | jane@example.com | Required. Verified for syntax and MX. |
niche | Technology | {{niche}} |
dr | 45 | Domain rating, for filtering |
traffic | 12000 | Monthly traffic, for filtering |
price | 150 | Their known placement fee |
notes | Accepts guest posts | Private notes |
Any extra column (for example topic_1) becomes a custom field you can use as a placeholder.
What gets skipped
- Emails already in your account, and duplicates inside the file.
- Anything on your blocklist (full emails or whole domains).
- Invalid email syntax. Domains without MX records are flagged.
You can export prospects back to CSV at any time from the Prospects page.
